Terms of Privacy
We keep this simple and we keep it minimal. We only collect what we need to get your order to you and to run our atelier properly, and we never sell your data. Here is exactly what we collect, why, and what your rights are.
Who we are
Atelier Wolfstone, the trade name of Wolfstone VOF, run by Kaat van Doremalen and Huib Stawski, is the controller of your personal data. What we collect
To fulfil your order we need certain details: your name, email address, billing and shipping address, payment information, and the details of what you ordered. If you contact us directly, for example for a custom piece, you may also choose to share extra information with us, such as your ideas, references and sizing. When you visit our website we may also receive technical data such as your IP address and basic usage data through cookies (see Cookies below).
Why we use it, and our legal grounds
We use your data for clear reasons, and each one rests on a legal ground under the GDPR (AVG):
- To perform our contract with you: to process and deliver your order, handle custom work, and provide customer service and deal with returns, complaints or disputes.
- Because you gave us your consent, which you can withdraw at any time: for example when you sign up for our mailing list.
- To comply with a legal obligation: for example keeping the purchase and invoice records that tax law requires.
- For our legitimate interests, where these are not overridden by your rights: for example keeping our shop secure and improving our service.
Who we share it with
Your data matters to us, so we share it only where we have to, and only as far as needed:
- Mollie, our payment provider, for iDEAL and card payments; PayPal; and Klarna (see below), depending on how you pay.
- MyParcel (PostNL) and your local shipping provider, who ships your order.
- JouwWeb, our website platform, and Brevo, our newsletter tool.
- Advertising and analytics partners, but only through the cookies you allow: Meta (Facebook and Instagram), Google, Pinterest, TikTok and LinkedIn.
- Authorities or advisers, where the law requires it, or to establish, exercise or defend a legal claim.
- A buyer or successor, if we ever sell or merge the business, and only as far as the law allows.
We do not sell your personal data to anyone.
Klarna
To offer you Klarna's payment methods, at checkout we may pass your contact and order details to Klarna, so Klarna can assess whether you qualify for their payment methods and tailor those methods to you. This assessment can be partly automated. For that processing, Klarna is responsible as its own controller, and your data is handled in line with Klarna's privacy notice.
Sending data outside the EU
We try to keep your data within the European Economic Area. Mollie, MyParcel/PostNL, JouwWeb and Brevo process your data inside the EEA. Our advertising and analytics partners (Meta, Google, Pinterest, TikTok and LinkedIn) may process data outside the EEA. Where that happens, we make sure appropriate safeguards are in place, such as the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.
How long we keep it
We do not keep your data longer than we need to:
- Order, invoice and payment records: 7 years, because Dutch tax law requires it.
- Mailing list data: until you unsubscribe.
- Contact and custom-enquiry messages: as long as we need them to help you, plus a reasonable period after.
After that, we delete or anonymise your data.
Cookies
Our website uses cookies. Functional cookies are needed to make the site and your order work. Analytics and advertising cookies, for example from Meta (Facebook and Instagram), Google, Pinterest, TikTok and LinkedIn, are only placed if you agree to them through our cookie banner, and you can change your choice at any time.
How we keep your data safe
We take reasonable technical and organisational measures to protect your data, such as a secure (SSL) connection and limited access. If a data breach ever affects your data, we act on it and notify the authorities, and you where required, as the law demands.
Your rights
You have the right to see the data we hold about you, to correct it, to have it deleted, to limit how we use it, to receive it in a portable form, to object to certain uses, and to withdraw any consent you gave. To use any of these, email info@wolfstone.nl and we will help. We may need to confirm your identity first, in a proportionate way, but we will not ask you to send a copy of your ID. If you are unhappy with how we handle your data, you can also lodge a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl).
Children
Our shop is not aimed at children. We do not knowingly collect data from anyone under 16 without the consent of a parent or guardian.
Changes
We may update this statement, and the version on our site is always the current one.
